Terms and conditions
General
Event wristbands to be worn properly at all times, there will be no re-entry without one.
Glass containers and bottles are not allowed within the public bounds of the site, any persons requiring these items as part of their display or business must take reasonable steps to ensure that the public do not have access to them. Any persons found trying to bring the said items into the public areas or found with them will be asked to remove them immediately.
Open fires, camp fires and charcoal barbeques are not allowed within the whole site. Gas barbecues if used must be sited so that the general public can not come into contact with any hot surface. All barbecues must be purpose-built and portable, standing clear of the ground. There must be no possibility of damage to the ground. Any person using a gas barbecue must have a serviceable fire extinguisher to hand.
Vehicle Use
All vehicular traffic will be subject to a strict 5mph speed limit at all times on site. All non essential vehicles must be removed from the site before 10.00 am, none will be allowed back within the site until the event finish time (5.00 pm). Any vehicle (exhibits) not in position before the event start time will not be allowed access. Any persons wishing to move their vehicle within show times (personal emergency) must contact the event control point to seek permission beforehand and will not be allowed to move until permission has been granted and they can be escorted safely by stewards.
Stall holders
All stall holders will be allowed access to the site from 1.00 pm on Thursday 16th August 2012. Any person causing an obstruction at the main entry gate may be asked to move or risk refusal to the site. On entry all will contact the control point, book in and be directed to their pitch. None are to set up their pitch before doing so. Stall holders must have all paperwork/passes to hand including completed risk assessments if not already submitted.
All stall holders are to keep within their allocated pitch area; this will include any guy ropes and display items. Stalls wishing to be placed adjacent to each other must send their forms and payments at the same time with the request included. A layout of the site will be at the control point. Each pitch is marked out for the footage requested and paid for. No additional space will be available. Stewards will be on hand to guide traders to their position and allocated area. Fire and emergency access routes will be clearly marked. Stalls must not obstruct these routes. All electrical leads and cables are to be suitably covered so they do not create a trip hazard. All guy ropes should be highlighted with high visibility markings or covered to eliminate trip hazards. The event starts at 10.00 am on Saturday 18th August 2012 and traders should ensure they are set up well before this time. All stall holders must be clear of the site by 4.00 pm on Monday 20th August 2012. For the health & safety of the public, high standards need to be maintained; therefore all traders must comply with a number of regulations. All stalls must comply with fire, health & safety regulations and a fire risk assessment must now be provided for every unit/stall. Relevant information can be obtained from The Environmental Health Department, Huntingdonshire District Council, St. Mary’s Street, Huntingdon, Cambs. Tel: (01480 388388). Stalls will be inspected by the events health & safety officer before the event start. Stalls found not complying with health & safety regulations will be asked to rectify the problem immediately or face removal from site. Anything that could be construed as a child’s toy should be correctly labelled and meet all relevant standards. Vehicles must fit to the rear of and within the pitch width ordered as these dimensions are used for setting out. Any vehicle that may need to be used off site during the event opening times will need to be moved into the car park prior to opening as all vehicle movement is forbidden between 10.00am and 5.00 pm. Those wishing to move their vehicles during the event open hours due to a personal emergency must contact the control point and wait to be escorted off site. The Committee are working very hard to make this year’s event clean and green. We require all stall holders to provide their own refuse bags and place full bags into the skips. Use the skips and not the public bins for trade waste. Collect rubbish from around stall. Clear up all your waste (including food) and dispose of in skips before you leave. Take all gas cylinders and used oil containers away with you. Report any problems to stewards or control point immediately. Stalls which comply with our guidelines will be invited back next year.
Generators
Generators are allowed on site, however diesel generators are preferred to petrol generators because of the fire risks involved with fuel storage and refuelling. No hot refuelling is to take place, all generators must be tuned off and allowed to cool before refuelling commences. All generators should be fitted with am emergency cut-off switch. Generators must be switched off and not used between 10.00 pm and 7.00 am.
Camping / Overnight Stay
To comply with regulations all persons remaining overnight at the event must be registered. All those staying must be situated in the camping area. The only exceptions are re-enactors staying within their display and stall holders in the events arena. No caravans or modern vehicles will be sited in the Camp area (strictly 1940s era only). The camping area is open grassland. All camping pitches must be pre-booked and are allocated and numbered. Any motor home/caravan/vehicle/tent over 7 metres will need to have to apply for two camping pitches. Any groups or friends wishing to camp together must submit all applications together. Motor homes, caravans, tents, vehicles and camping equipment including guy ropes must be kept within the confines of the allocated pitch. All electrical leads and cables are to be suitably covered so they do not create a trip hazard. All guy ropes should be highlighted with high visibility markings or covered to eliminate trip hazards. The pitch provided is wide enough for a tent or caravan/motor home plus awning. There should be enough space to park a vehicle too. If car/vehicle can not fit within the allocated space then they must be removed to the public car park. Due to the layout of the camping area all tents are to be pitched within their own allocated area. Campers rubbish must be bagged and disposed of in the skip provided by the main site entrance. Elson toilets should be emptied within the disposal tank provided. Toilet facilities are provided within the camping and main site areas. Fresh water is freely available but there are no dedicated washing or showering facilities. Early visitors welcome but please be aware that the main event toilets will not arrive until Friday 17th August 2012. You will need your own sanitation if you arrive on Thursday. For your own safety make yourself aware of the site fire regulations and fire fighting equipment and its location. With safety in mind we ask all campers to have their own fire bucket/blanket. We ask all campers to ensure that their pitch is left clear of litter on their day of departure from the site. Due to previous complaints about barking dogs please do not leave dogs unattended at anytime in the camping area.
Dances
Entrance to evening dances is by ticket only. No person under the age of 12 years admitted. Food is not included in ticket price, bar and catering facilities are available. To comply with insurance regulations no glass or own food or drink to be taken into dance venue. Security officers will be present. 1940s dress encouraged but not essential.
Dogs
All visitors wishing to bring dogs to this event do so at their own risk. All dogs must be on a lead no longer than 2 metres and must be under control at all times. If you have any doubts about your dog’s temperament, muzzles must be fitted. Aggressive dogs will be refused entry. Any dog fouling must be collected immediately and responsibly disposed or taken home. Please be aware that there will be loud noises from time to time during the weekend which may frighten some dogs. Please do not leave dogs unattended at anytime especially in the camping area. This notice is to protect members of the public and ensure maximum enjoyment, however any dog owner not complying with any part of this notice, will be asked to leave the site. Any queries arising must be referred to the Control Point or any Committee Member or Marshal.
The Committee reserve the right to remove any persons and their equipment from the event/site at any time.
